Dear Faculty,
I’m writing to provide you with the following relevant information about technology inside and outside the classroom for your class this fall. This memo will be linked to the Capitol Campus IST page for future reference.
If you are new to the Capitol Campus, or need general information about any IT or AV-related services, please view the IST page on the Capitol Campus website prior to the start of classes and complete the Information Security on Data Security & Privacy training.
Please feel free to reach out directly to me if your technology needs are not being met inside or outside the classroom or have questions about Capitol Campus technology.
Best,
George Petasis
Assistant Dean of Technology and Chief Information Officer
IST Service Desk Hours and Contact Information
The Service Desk hours for the fall semester are:
- Monday to Friday: 7:30 a.m. to 10:00 p.m.
- Saturday and Sunday: 8:30 a.m. to 5:00 p.m.
You can email the Service Desk at caphelp@georgetown.edu or use our appointment scheduling portal for all your IT needs. We are located at McDonough Hall, room 152 (we have temporarily relocated to room 150 due to ongoing building construction). IST also has a presence in 125E so that techs can be dispatched faster on classroom emergencies.
Classroom Recordings
- To record your class: Once you’ve begun a Zoom meeting in the classroom, and potentially joined it from your device to share your screen, select the record option as you may already be accustomed to within Zoom meetings. When done recording select, “End recording”. When you end the meeting you will be asked to provide an email address; once processed, a link to the Zoom recording will be sent to that address.
Preparing to Teach: Information About Other Supported Technologies
- Learning Management System (Canvas): By default, all Georgetown Canvas courses remain “unpublished” and inaccessible to students. You must publish a course before students can access it and its contents. Instructions on managing student access to your Canvas course sites can be found here.
Teaching On Campus
- We recommend taking a moment to familiarize yourself with IT Services, in particular classroom Quick Start guides may be of value to you.
- BYOD (Bring Your Own Device) support in our classrooms is only available through Zoom.
- If you need to schedule an AV tech to be there before your class, you can fill out a Classroom Technology Support request ahead of time – this form can also be used to request a loaner laptop if you need one for your class. Faculty can get emergency assistance, while in class, by calling 202-662-ZOOM(9666). IST will deploy on-call staff as needed, however, please be aware that there could be a high volume of calls in the first few days of classes which may delay assistance. Classroom support is available during the time classes are in session.
Hybrid Teaching
For hybrid teaching, please follow the hybrid teaching instructions.
Teaching at Distance
-
- You can also learn more about teaching with Zoom by visiting the Zoom Resources page.
- Instructional Continuity: In the event that the University moves all or most classes online due to instructional continuity being in place, faculty may need to teach online using an alternate modality. CNDLS provides several excellent resources on how this might be achieved..
Get Instructional Technology Training
IST provides scheduled Zoom, Canvas or other supported technology training opportunities. This includes not only group training opportunities, but also 1-on-1 training opportunities for more targeted training needs. Faculty and staff can register for training by visiting the Instructional Technologies Training site.
Technology Updates
- ZOOM Phone: We migrated to ZOOM Telephony across the university. ZOOM Telephony allows you to make and receive calls from a PC or mobile device with your office number via your ZOOM application over an internet connection – please keep in mind that you need to login to your ZOOM account with your NetID/password to make and receive calls – you can request a headset through this form.
- ZOOM captions: Moving forward, participants will be able to turn on captions during a meeting without the host needing to take any action.
To enable automated captions, please follow these instructions:
- Zoom meeting participants will see a “Show Captions” button with a “CC” icon at the bottom of their Zoom meeting window. Click on the button to turn on automated captions.
- Once captions are turned on, the same button will say “Hide Captions.” Click it again to turn off captions.
- Click the “up arrow” next to the “CC” icon to change the language of automated captions.
- All participants will be informed when captions are turned on in a meeting. Each participant can decide whether to turn automated captions on or off on their own computer or mobile device.
- While automated captioning is not a replacement for live captioning or ASL interpreters, it is a useful accessibility tool. This new default setting will make Zoom meetings more accessible and reduce the time it takes for participants who use automated captions to enable them.
- Pronouns: You now have the ability to add and display your pronouns in Zoom directly through your user profile (how-to guide) NOTE: if you are not already signed into Zoom you will need to select the “SSO” option to login with your Georgetown NetID.
- Campus Wi-Fi: You will need to reconnect to SaxaNet if you have not used it recently.
- Adobe Acrobat Pro: Please fill out the Adobe request form if you need a license.
- Papercut: As part of our ongoing sustainability and cybersecurity improvement initiatives, the University’s network print services are now fully transitioned to PaperCut cloud printing.Step-by-step instructions on using Papercut are available on the Faculty and Staff Printing website.
GOCard Mobile Credentials
If you are new to Georgetown, please follow the provided steps in order to enroll in the Mobile GOCard — it’s important that you follow all the steps in order to correctly install your Mobile Card on your smartphone. Please keep in mind that without a proximity type GOCard you will not be able to access any of the Capitol Campus buildings.
Emergency Instructions
Emergency instructions are posted in all the classrooms to guide members of our community and visitors in the event of an emergency. Please be aware of the location of exits in the event of a fire or other emergency. Please make sure you validate your HOYAlert registration to stay informed on closures and other emergency messages from the Law Center.
